Position Overview: The Work Order Specialist is responsible for creating work orders for bottling and canning. Managing, auditing, and closing all work orders across winemaking, cellar, bottling, and canning operations. Reporting to the Director of Winemaking & Alternative Beverages, this role ensures operational efficiency, adherence to SOPs, and timely completion of activities. The Work Order Specialist also develops, maintains, and communicates SOPs and Work Orders in both English and Spanish for all relevant departments. 

Key Responsibilities

  • Create work orders for bottling, and canning activities.

  • Ensure all work orders are accurately documented, including all materials, resources, and instructions.

  • Audit all work orders for accuracy, compliance, and completeness.

  • Close work orders within 24 hours of activity completion, ensuring all data is captured and verified.

  • Develop and maintain clear Standard Operating Procedures (SOPs) for winemaking, cellar, bottling, and canning departments.

  • Ensure SOPs and Work Orders are available in both English and Spanish and are accessible to all relevant teams.

  • Train staff on new or updated SOPs and ensure compliance across all departments.

  • Collaborate with the Director, Winemaking, Cellar Master, and production teams to ensure work orders align with production schedules.

  • Monitor workflow to identify bottlenecks or inefficiencies and recommend improvements.

  • Support audits and quality checks related to work order completion and SOP adherence.

  • Maintain accurate records of work orders, including status, completion, and any deviations.

  • Provide regular reports to the Director of Winemaking & Alternative Beverages on work order metrics, compliance, and operational performance.

  • Recommend process improvements to increase efficiency, accuracy, and compliance.

Qualifications

  • Bachelor’s degree in Business, Operations, Supply Chain, Enology, Food Science, or related field preferred.

  • 3+ years of experience in work order management, production coordination, or operations support in beverage or manufacturing environments.

  • Strong understanding of SOP development and operational compliance.

  • Bilingual in English and Spanish with excellent written and verbal communication skills.

  • Strong organizational, detail-oriented, and time-management skills.

  • Ability to work in a fast-paced, client-focused, and operationally complex environment.

  • Proficiency in Office 365 and Google Workspace

  • Proficiency in wine production software e.g., Vintrace, Innovint

Work Environment & Physical Requirements

  • This role primarily operates in an office environment

  • Must be able to lift up to 50 pounds

  • Ability to sit or stand for long periods

HEAT ILLNESS PREVENTION & HAZARD COMMUNICATION

This position may require work in hot environments or around production equipment that generates heat. In compliance with California Occupational Safety and Health (Cal/OSHA) standards, the following protections apply:

  • Employees are provided access to fresh, cool drinking water at all times.

  • Shaded rest areas are available, and employees are encouraged to take preventative cool-down rest periods as needed.

  • Supervisors are trained to recognize and respond to signs of heat illness and hazards.

  • All employees receive heat illness prevention training upon hire and annually.

  • Personal protective equipment (PPE) is provided as required.

  • Hazard communication training is provided to ensure awareness of potential chemical and environmental risks.

Employees should report any unsafe conditions to their supervisor immediately.
