Office Coordinator (Wine Jobs: Management & Administration)

RESPONSIBILITIES
1. Administrative support

  • Manage office & kitchen supplies: monitor inventory levels; order as needed; and restock
  • Manage marketing materials: inventory levels; order as needed; and restock
  • Manage ordering and embroidery of branded apparel
  • Research and purchase of office needs as directed by the Executive Director
  • Update information to the database and perform duties related to maintenance of the database
  • Export, review, and update Excel spreadsheets as required for organizational reporting
  • Prepare for and coordinate meetings and schedules as directed by the Executive Director
  • Manage master calendar to ensure all appointments are current

2. Membership

  • Print and mail membership packets
  • Handle monthly invoice mailings
  • Provide occasional mailing support for membership-related projects, including mail merge support, prep and printing of shipping labels, and stuffing of envelopes

3. Farmworker Foundation 

  • Mailing support for all Farmworker Foundation events and programs
  • Administrative support for annual Give!Guide program participation
  • Coordinate Summer Mentor Program applications, including spreadsheet management and email correspondence
  • Update event checklists and post-event documents

4. Events

  • Provide support for events

QUALIFICATIONS

  • At least 2 years in related position
  • Top notch writing and verbal communication skills
  • Solid work ethic and organizational skills
  • Strong interpersonal skills
  • Ability to create, maintain, and report budgets
  • Excel and Word experience. CRM or database software a +
  • Ability to assist with event set up, breakdown, and coordination
  • Ability to work with management, colleagues, and people throughout the business and industry at every level

PHYSICAL REQUIREMENTS
These are required to perform the key responsibilities of the job with or without accommodations

  • Must be able to lift up to 50 pounds repeatedly
  • Must be able to walk, stand, climb, hear, see, balance, reach with hands and arms, stoop, kneel, crouch or crawl on a daily basis
  • Must be able to drive a reliable vehicle

ADDITIONAL REQUIREMENTS

  • Must possess a valid state driver's license
  • Must have a clean motor vehicle record
  • This job requires the use of your personal vehicle, for which you will be reimbursed for business-related driving expenses
  • Must be able to sell, work with and around alcoholic beverages
