Schramsberg and Davies Vineyards is looking for an Assistant Wine Club Manager to join our team.

Title: Assistant Wine Club Manager

Reports to: Wine Club and DTC Logistics Manager

FLSA Status: Exempt

Essential Functions:

- Responsible for supporting the Wine Club and DTC logistic Manager for the overall management of the Wine Clubs.
- Accountable for Wine Club membership growth and retention, developing promotional materials, shipment schedules, member events, and member services.
- Participate in the selection of wines and library wines for club shipments.
- Wine Club Memberships
- Enter new club members into the AMS database timely.
- Send welcome letters to new club members within the first week of membership.
- Responsible for keeping track of wine club sign-up commissions. Make this available to the accounting department for monthly payout.
- Process cancellation calls and emails; determine why they are canceling.
- Keep track of the number of signups and cancelations, update the recap sheet and report statistics to management regularly.
- Answer member phone calls and process the changes to their membership as appropriate.
- Mark each customer’s record with notes/changes and verify effects on current shipment.
- Write the wine club newsletter and coordinate with other team members contributing to it.
- Coordinate the printing of the club newsletter and delivery to Wineshipping.com.
- Search for expired credit cards and communicate with members as needed for updated information.
- Review and process special instructions and club hold.
- Search for suspended members and send reinstatement emails or phone calls.
- Manage gift memberships.
- Process each wine club and subgroup within each club separately.
- Upload club shipping instruction spreadsheets to the warehouses.
- Manage extreme weather conditions requiring upgraded shipping during the winter or summer.
- Manage credit card declines. Request via email or phone that members update their credit card information.
- Keep track of returned wine club shipments daily.
- Process the returns and reship as appropriate.
- Coordinate with Accounting that returned inventory has been credited or rebilled and returned to inventory as needed.
- Wine Club Special Events
- Participate in the budget phase and planning for each fiscal year.
- Provide input on Wine Club Special Events.
- Must be present at all the winery’s special events.
- Some weekends work is required.

Qualifications:
- Experience: A minimum of 3 years’ experience in administration, wine club management, and direct-to-consumer sales in the wine industry is required.
- Education: A bachelor’s degree is preferred.
- The candidate should have an in-depth understanding and experience of wine club management.
- The candidate must be computer literate.
- Basic administrative skills are expected.
- Wine knowledge and ability to taste wine is required.
- Ability to supervise and manage staff.
- Must be able to speak publicly to a large group.
- Experience with AMS is preferred.
- Direct to consumer sales in the wine industry preferred.
- Understanding of direct marketing and E-commerce activities.
- Attention to detail is required for data entry.
- Excellent customer service skills.
- Ability to communicate effectively and follow instructions.
- Demonstrated proficiency in Microsoft Outlook, MS Word, MS Excel, and PowerPoint.
- Coordinate multiple tasks simultaneously.
- Versatility, flexibility, and a willingness to work with others.
- A valid California driver’s license and be insurable.
- Ability to sit, walk, climb, stoop, kneel, talk or hear, taste or smell.
- Ability to lift 50 pounds.
