This is a dual role that is responsible for the compliance function along with supporting accounting in the areas of accounts receivable and accounts payable. Other duties and projects may be assigned.
SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES:
Manages all Federal, California and Out of State Compliance
· Reporting duties include Monthly Report of Wine Premises, federal and state excise tax, California and out-of-state sales/use tax and shipment reporting for all DTC and Wholesale shipments
· Maintains COLA registrations and brand registrations, obtain COLAs for new products when necessary
· Maintain winery permits; includes California ABC, Federal Basic Permit, Direct to consumer and Wholesale licenses
· Ensures all wines and brands are registered in states were applicable
· Maintains Universal Product Code logs; assign new codes as needed for bottling
· Manages ShipCompliant software (an automated alcohol beverage compliance tool) including product setup and autofile reporting
· Prepares miscellaneous regulatory reports for grape and wine production
· Collaborate with the tasting room team on compliance related question and issues
· Stay up to date with DTC shipping laws and changes
· Ensures state bonds are renewed
· Sets up new vintage product codes for relevant parties in the organization within the Company’s systems
Wholesale/Customer Service
· Acts as primary Customer Service contact for warehouse and distributors; includes order entry process and invoicing
· Notify Wholesale partners of vintage changes or price changes
· Facilitates all transfer orders to winery tasting rooms
· Prepares monthly reporting of Wholesale sales performance to internal team
· Calculates and prepares Custom Crush clients’ invoices along with issuing sales orders and associated invoices to wholesale customers, and any other invoicing necessary
Accounting
· Supports accounting department with the processing of vendor/supplier and customer invoices
· Prepares Secured & Unsecured Property Tax
· Other administrative duties as applicable
MINIMUM JOB REQUIREMENTS:
Subject matter expert on wine compliance
Highly organized with strong attention to detail and the ability to meet deadlines.
Must possess the ability to multi-task, prioritize, work independently, and also as part of a cohesive team.
Ability to research and analyze information.
Excellent communication and interpersonal skills.
Previous winery compliance experience required.
Proficient understanding of accounting
Fully proficient in all aspects of Shipcompliant or equivalent compliance software, MS Office Suite and QuickBooks.
Familiarity with various Point of Sale systems a plus.
Must maintain strict confidentiality at all times.
Able to work in a positive manner with a diverse group of people
