Job Summary: 

  • Francis Ford Coppola Winery seeks an energetic and enthusiastic candidate for full-time Inventory Coordinator within our Hospitality department.  The primary functions of this position is to provide coordination and management of wine and non-wine merchandise, enhance the Company image and provide exceptional customer service.

Essential Duties and Responsibilities 

30% Inventory Management:

  • Manages the levels of merchandise, wine, bags, and operational supply stocks, and orders additional stock items as needed.
  • Partners with the leadership teams to ensure that the organization has strategic and adequate supply of stock for revenue, including during times of peak sales, events, campaigns, and holidays.
  • Plans and executes all physical inventories, including monthly wine counts, weekly cycle counts, and bi-annual non-wine merchandise counts. To include preparation for counts, partnership with leadership for management and scheduling of staff as needed, overseeing and executing counts, reconciling final counts and communicating discrepancies to managers as needed.
  • Ensure floor levels of wine and non-wine items are kept stocked and tidy.
  • Move wine and non-wine items into appropriate inventories in vault and near floor areas.
  • Maintain organized areas of inventories at all time.
  • Accountable for inventory discrepancies.
  • Streamline inventory operations, with a focus on minimizing shrinkage, enhancing purchasing experience for guests, and efficiency for execution for staff.
  • Responsible for the accurate monitoring, ordering and storage of inventory.
  • Work with the shipping and receiving department managers to ensure necessary items are in stock.
  • Operate the forklift for dock delivery pickups [shipping/receiving], Rustic and FCW wine and non-wine deliveries; and Events/Visuals Fixture movement across property as needed.
  • Manage Club and Special Project Shipments: received in/put away; restocked guest services; displays/transfers/pack out break downs; manage non-wine inventory.
  • Recycling: dumpster and cardboard crusher removal (FCW/Rustic and Vault). 

30% Inventory Control:

  • Runs sales and inventory reports in Director and Store Operations Manager.
  • Manage mark-out-of-stock operations and reconcile as needed
  • Prepares reports, such as inventory balance, reconciliations, and shortages.
  • Verifies clerical computations against physical count of stock and adjusts errors in computation or count, or investigates and reports reasons for discrepancies.
  • Prepares list of depleted items and recommends inspection of defective or unusable items.
  • Develop and implement inventory control procedures for just-in-time shipments and deliveries.
  • Compares wine, and non-wine inventories to reports and records and/or computes figures from records,
  • Assist with ordering and making recommendations for wine or merchandise.
  • Creates strategies and processes to minimize shrinkage.
  • Strategically creates Tasting Room Menu's (Public and Private Experiences), with a focus on depletion and sales
  • Ensures the integrity of the stock management systems to guard against pilferage, theft, fraud and other activities that adversely affect the organization’s operations.
  • Work with Wine Family inventory reconciliations.
  • MOS damaged wine, damaged non-wine-fire sale and other departments.
  • Weekly/Monthly Inventory Stock Report Counts of wine, cigars, cork screws and stopper/pourers.
  • Develop processes/standards for inventory management.
  • Compiles and maintains records of quantity, type, and value of material, equipment, merchandise, or supplies stocked in establishment such as sales orders, transfers records, or purchase invoices to obtain current inventory.
  • Works with Operations Assistant on compliance reporting.
  • Prepare and ensure accuracy of documentation relating to inventory.
  • Reporting for monthly/quarterly inventory counts.
  • Track the inventory flow to identify slow moving and dead stock.
  • Records the quality, quantity, type, style and any other characteristic of goods that the organization holds in inventory to give the rest of the management team a clear picture of what the organization has and what it needs.

30% Hospitality:

  • Partners with the Wine Family, Ecomm and warehousing departments to ensure that the customer’s order is properly filled with the exact goods that were requisitioned.
  • Promote our wine and non-wine retail merchandise for sale.
  • Work in the Tasting Room as needed, creating a memorable experience for all guests who enter the property.
  • Work as a team with other associates to reach daily and monthly sales targets.
  • Responsible for accurately processing transactions on register system of wine and non-wine retail products, wrapping of merchandise, processing forms for shipment of wine and non-wine retail products.
  • Assist with various opening and closing procedures.
  • Responsible to perform routine maintenance of the sales floor and outside areas throughout shift.
  • Keep up-to-date regarding local events, communicating information appropriately to customers.
  • Keep up-to-date with ABC regulation and adhering to established policies and procedures regarding the handling and service of alcoholic beverages.
  • Keep up-to-date with Inter-state shipping regulations and adhering to established policies regarding the shipment of wine.
  • Point of contact for customer service inquiries, including follow-up for special requests, resolving customer service challenges, and replacing wine & merchandise for guests as needed.
  • Coordinate merchandise and wine items for both for internal and external requests

10%  Special Projects and Events

  • Work with departments across DTC for wine orders as needed. To include weekly wine orders for the Events Department and hospitality events.
  • Participate in promotional planning to include in items ordering.
  • Compiles information on receipt or disbursement of material, equipment, merchandise, or supplies, and computes inventory balance, price, and cost.
  • Assist with Events/Experiences, including set up and breakdown.
  • Partner with Donations Team for pickups and coordination of outgoing donations.
  • Other duties as requested

Job Requirements

Education/Experience:

  • Two years related experience and/or training; or equivalent combination of education and experience. 

Knowledge, Skills & Abilities:  

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Must be 21 years of age or older.
  • CA Food Handlers Certification required.
  • TIPS Certification or Certified within 90 days of employment.
