POSITION SUMMARY:     Handles the day to day administrative functions of all the branches of the Facilities Department; Data Entry, Facilities Maintenance, Janitorial, Safety, Regulatory reporting, Project tracking, Financial paperwork, Purchasing, Receiving

 

KEY RESPONSIBILITIES:

·        Point person to ensure the integrity of the Computerized Maintenance Management Software (CMMS); ‘Maintenance Connection’, coordinating with;

·        Maintenance Supervisor – to establish and update as necessary the structure and contents of the system and the development of PM tasks & programs as required by the evolution of the facility.

·        Maintenance Supervisor & Lead – to assist in the planning/scheduling of tasks & projects and the appropriate materials supplies.

·        All Maintenance Team – for the daily input of data/information as work orders are scheduled, performed and completed.

·        Accounting Dept. – appropriate allocation of departmental spending to Cost Centers and GL Accounts.

·        Lead the creation, development and continued organization of the spare parts management/inventory system(s); both in CMMS and card based consumables supply. Overseeing the receipt of parts & supplies and their entry into inventory and storerooms. Responsible of assuring inventory accuracy, using cycle counts etc.

·        Purchase spare parts and consumables required to maintain established departmental inventory levels, as well as the needs for special projects, manage all paperwork and financial processes associated with transactions.

·        Perform procurement administrative and clerical functions for the department

·        Create & issue Purchase Orders, Goods receipts, status look up, data entry.

·        Preparation of Invoices & Goods Receipts for approval.

·        Recording of costs in the CMMS, as necessary.

·        Ensure monthly Credit card reconciliation is completed for Departmental accounts.

·        Continually research and work with outside vendors to achieve highest value for the procurement of standard supplies & materials required for the dept. as well as special project purchases.

·        Support departmental supervisors in administrative aspects of their activities, such as maintaining safety training records and documenting tail-gates.

·        Coordinate the communication of & maintain the documentation of the manual data collection performed by the Facilities Maintenance Dept. for usage tracking & regulatory reporting purposes.

·        Assist departmental management with budget tracking and forecasting.

·        Lead the shipping & receiving activities of goods & packages for the Maintenance Shop, coordinating with the Shop Assistant for the arrival and distribution of incoming goods to all departments.

·        Does not supervise others but has high degree of essential contact with outside agencies and customers as well as winery employees

·        Other duties as required by supervision or management.

 

QUALIFICATIONS:

Minimum:

·        PC literate with MS Office, particularly strong in Excel. Ability to utilize software for business/production applications; CMMS (Maintenance Connection), SCADA (Ignition)

·        Strong organization skills and ability to follow through on projects with minimal supervision

·        Ability to accurately follow instructions, take direction and accurately transmit such information to others, written & verbal.

·        Strong knowledge of production equipment, parts and terminology required.

·        1-2 years purchasing/procurement experience in a small/medium business environment required.

·        Driver’s License required and must be insurable by company’s insurance provider;

·        Able to safely operate, & satisfy Company certification for, Golf Carts.

·        Willing & able to perform any assigned task in a safe and efficient manner.

·        Available to work overtime if needed, particularly during Harvest preparation season.

Preferred:

·        Maintenance environment &/or Storeroom parts/inventory experience.

·        Education: Associates degree preferred

·        Experience with Maintenance Connection CMMS.

·        Knowledge/experience of wine production, wine industry, or related food processing.

·        Able to safely operate, & satisfy Company certification for Industrial Forklift Trucks.

·        Mechanical aptitude/mechanical skills a plus.

 

 

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

Working conditions in winery operations can be hot or cold, wet, slippery and noisy, and involves exposure to potentially hazardous conditions.

This position is predominantly an office based role. Office is located within a Production environment.

·        Must be able to sit and use typical office equipment most of the day using hands and fingers

·        Must be able to stand, walk, bend, and reach with hands and arms frequently during the day 

·        Ability to bend and lift at least 55 lbs. such as wine cases and other materials occasionally.

·        Seasonal variation in workload and extended hours during harvest are required.
