NAPA VALLEY EVENT MANAGER (Wine Jobs: Management & Administration)

Position Summary: The Napa Valley Event Manager executes all events in the Napa Valley for Boisset Collection, with responsibilities for selling, planning, promoting, and hosting on-site winery special events; performing winery outreach; developing and maintaining hospitality budgets, and many other activities related to increasing sales, guest traffic and enhancing company image.
Essential Functions:
•  Aggressively solicit, sell and execute revenue-generating events through pro-active outreach and response to requests to achieve profitability goals.
•  Conduct preplanning meetings to develop timelines, product lists, theme, and all logistical needs. Provides analysis and written summaries evaluating all events managed along with future opportunities for improvement.
•  Establish wine sales program for each event with sales goal.
•  Work closely with Director of Retail Operations, Tasting Room Managers, Wine Club Coordinator, Culinary Director, and Marketing Team to develop, plan, promote, execute, and evaluate a wide variety of on-site special events for promotional and marketing purposes.
•  Coordinate all aspects of events implementation timelines, including promotional materials, rentals, food & beverage, staffing, site logistics, seating, set up and break downs. Ensure that event details coordinate with theme and/or purpose of each event.
•  Develop, maintain, and update an entertainment resource database, including caterers, event equipment suppliers, entertainers, staffing resources, and other vendors as needed. Evaluate each vendor based on quality of product, cost efficiency, and overall customer service.
•  Develop, monitor, and adjust annual event budgets, taking into account the needs of Hospitality, Sales & Marketing, Guest Direct, and other departments. Work closely with department managers to develop and adjust budgets as needed.
•  Implement training, systems, protocol models for standard operating procedures.
•  Assist other properties with special marketing, hospitality, and promotional projects as needed.
Additional Functions:
•  Comply with all company safety policies, practices, and procedures. Participate in safety training and report all unsafe conditions or work practices.
•  Participate in team efforts and perform additional duties as needed.
Necessary Skills:
Language: Ability to speak and understand basic English required for all positions.
•  Ability to read and interpret documents such as memos, instructions, policies and manuals. Ability to write routine reports and correspondence. Ability to present information effectively to groups of customers and/or employees, and participate in one-on-one and small group situations.
Math:
•  Ability to add, subtract, multiply, and divide accurately, using standard American units of currency, weight, volume, and/or distance. Ability to recognize and correct inaccuracies when using calculator or computer spreadsheet. Ability calculate items such as discounts, commissions, simple interest, percentages, areas, circumference, and volume.
Logic:
•  Ability to apply common sense understanding to multiple tasks, analyze and solve practical problems, prioritize and delegate tasks and projects, work both independently and as part of a team, and adapt to frequent changes in the work environment.
Computer:
•  Possess intermediate computer skills which can include e-mail, internet, word processing, spreadsheet, basic database activity, graphic arts and/or publishing.
Education, Experience, Certificates, Licenses:
•  Bachelor’s Degree (B.A. or B.S.) from a 4-year college or university; or 12-24 months related experience or training; or equivalent combination of education and experience.
•  Current, valid Driver’s License, insurable driving record, and proof of current automobile insurance required.
Physical Requirements:
•  Moderate physical activity performing occasional somewhat strenuous activities including standing, walking, climbing, reaching, and carrying. Manual dexterity sufficient to reach, handle items, and work with the fingers. Requires lifting and moving objects up to 40 lbs. in weight. Clear vision (close and distant) and ability to adjust focus. Hearing adequate for telephone, office, and group conversation.
Work Environment
•  Primarily in a well lighted, heated and/or air-conditioned indoor setting with adequate ventilation. Periods required in an un-heated indoor setting (wine cellar) with changing conditions. Periods outdoors while conducting tours or attending outdoor events. Moderate noise levels typical of public space: music sound system, public conversations, telephones/cell phones, large groups.
Schedule and Travel Requirements
•  Variable schedule: primarily a set schedule but may require weekends, periodic evenings, and/or periodic or seasonal overtime.
•  Position may include minimal overnight travel and/or travel by auto or air.
