HR Assistant/Payroll Specialist (Wine Jobs: Management & Administration)

The Human Resources Assistant/Payroll Specialist provides administrative support to the Director of Human Resources, carries out payroll responsibilities and assists with administration of company-wide human resources policies, procedures, and practices in accordance with stated corporate objectives and state and legal requirements. This position also provides support with safety programs to further develop our employee safety culture.

Essential Duties and Responsibilities
Core duties and responsibilities include the following. Other duties may be assigned by manager.
• Responds with urgency to immediate HR related inquiries regarding the organization’s processes, policies, procedures, and programs
• Posts/processes employee change requests (employee, payroll, benefit changes) into database, verifies necessary paperwork is accurate and complete; processing of manual checks and terminations
• Import incentives and T&E biweekly to payroll system
• Uploads 401K Report to 401K Administrator, Pensys and files confirmations, biweekly
• Prepare Payroll Tax & Wage GL Spreadsheet for posting
• Validates and reconciles employee deductions against monthly ADP benefit invoice
• Updates Organizational charts and PowerPoint presentations as required
• Assists or prepares correspondence, various forms and reports; formats job descriptions and posts to intranet; files papers and documents into appropriate employee and payroll files; biweekly 
• Makes photocopies, faxes & scans documents and performs other clerical/administrative functions
• Processes HR mail as required
• Rotates answering incoming winery phone lines and takes/picks up mail as needed 
• Supports talent acquisition efforts by scheduling preliminary phone interviews, meetings, pre-employment physicals, sends/receives applications and background forms
• Assist with on-boarding process of new hires as required
• Assists IT Manager in Soledad set up of company cell phones, voice mail and adding/removing hahnfamilywines email from personal cell phones
• Coordinate with Hospitality team for staff events, food, set up/prep & clean-up for staff and safety meetings as needed; tables, chairs, projector, computer, TV/Video equipment
• Assists Director of Human Resources with research and/or special projects as assigned
• Provides Spanish translation as required
• Coordinates with IT Manager to issue local/Soledad cell phones. Performs set up functions of company email and installs ADP mobile app before local company phones are issued to employees as required  
• Assists IT Manager with phone set up and voice mail as needed 
• Performs other duties as assigned

Safety Essential Functions
• Assists in the development and continuous improvement of Hahn Safety Training programs; coordinates Safety training calendar and test emergency preparedness
• Schedules and participates in safety meetings and committee, reserves facilities and coordinates with ADP Safety/Risk Manager and/or appropriate outside trainer/vendors, coordinates with hospitality for staff meetings and luncheons, assists with set up and provides translation as needed.
• Assists in scheduling employees for hearing, FIT Testing, Medical Questionnaires for compliance

Competencies and Requirements
To perform the job successfully, an individual should demonstrate the following competencies to perform the essential functions of this position:

• Minimum AA Degree in Finance, Business or a related field preferred.
• Minimum 2 years’ payroll experience or related duties as assigned and working knowledge of multiple human resource disciplines, preferred
• Working knowledge of Workman’s Compensation and Safety programs 
• EZLabor Time & Attendance, ADP TotalSource experience a plus
• Strong analytical, problem resolution, attention to details, accounting skills and creating/formatting documents essential.
• Ability to adapt to situations and respond effectively to sensitive inquiries or complaints
• Demonstrated professionalism with ability to maintain confidentiality, a must
• Ability to communicate effectively orally and in writing 
• Ability to work independently and collaboratively as a team to achieve established goals within deadline
• Strong interpersonal skills needed to develop constructive and cooperative working relationships with others
• Critical thinking, logic, and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems
• Strong organizational, time management and planning skills with excellent attention to detail
• Accurate data entry with accounting and/or payroll experience
• Dependable, self-motivated, high energy, creative and innovative thinker
• Demonstrate ability to effectively use available resources
• Proven ability to handle multiple projects and complete tasks efficiently and effectively
• Ability to research, gather and analyze data, create working spreadsheets, reports and/or graphs
• Intermediate to advance working knowledge of Microsoft Office Suite preferred
• Willingness and ability to speak and translate Spanish, preferred
• ADP Payroll and Wine knowledge a plus
• Valid driver's license with ability to operate vehicle
• Ability to become and maintain status as an Authorized Company Driver
 
This position has no supervisory responsibility.

The employee is frequently required to reach with hands and arms, bend and push/pull and or move and lift up to 25 lbs.  Occasionally the employee will lift up to 40 lbs. to move cases of wine, stoop, kneel, crouch or crawl and taste and/or smell a variety of foods and wine. 
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
The noise level in the work environment is usually moderate.
