OPEN POSITION:

Silver Oak & Twomey Cellars is recruiting for a California Sales Coordinator. This position is an hourly non-exempt position and is regular full-time, benefit eligible. This position will be based in Oakville, CA and will report to the California Sales Manager.

RESPONSIBILITIES:

RSM Support

• Establishes and maintains positive and regular communications with RSMs to proactively manage accounts

• Provides outstanding customer support to existing customers

• Ensures paperwork is complete and accurate; follows through on credit applications with new customers and builds new accounts in Great Plains

• Supports RSMs with proactive sales enablement activities such as coordinating samples, sales materials and assisting in release activities

• Assists California Sales Manager with chain/group account orders and special requests

• Sends daily sales report and summarizes other sales information upon request for designated region

Inbound/Outbound Calls

• Answers inbound sales calls for designated region to complete sales orders and customer service transactions as necessary

• Reviews orders for outstanding payment balance and allocation 

• Performs outbound calls on behalf of RSMs coordinating expedient and accurate wine delivery and account communication 

• Generates incremental sales via up-sell/cross-sell on inbound calls

Accounts Receivable

• Performs all Accounts Receivable related tasks and maintains detailed customer account records 

• Responds to invoice inquiries and resolves discrepancies in a timely and proactive manner

• Communicates regularly regarding status of problem accounts with RSMs

• Negotiates payments of current and past due accounts 

• Files small claims court paperwork as needed 

• Prepares End of Month (EOM) statements

• Partners with Accounting department to facilitate monthly closing tasks and sustain positive collection metrics

Administrative/Other

• Monitors inventory levels, replenishes warehouse and reconciles monthly inventory for designated region

• Manages regional relationship with delivery/warehouse fulfillment partners

• Maintains up-to-date account information in ERP and CRM databases

• Uploads allocations and assists in other reporting and sales management data entry

• Other tasks and responsibilities as assigned.

QUALIFICATIONS:

• 2-5 years of Customer Service or related experience

• Computer literacy in MS Word, Excel, Outlook; experience with Great Plains Dynamics, AMS and EDI a plus 

• Strong interpersonal, written and verbal communication skills

• Ability to effectively collaborate with and support sales people

• Ability to work in and collaborate to a team environment

• Strong organizational skills and attention to detail

• Proven ability to handle multiple tasks and time sensitive deadlines with tact and diplomacy

• Proficient and professional telephone etiquette

• Excellent problem resolution skills

• Flexibility and willingness to work in dynamic environment

• Winery experience preferred
