Marketing Administrator (Wine Jobs: Sales & Marketing)

Hahn Family Wines is seeking a Marketing Administrator for our Napa corporate location. This position primarily supports the commercial marketing efforts of all Hahn Family Wines brands but may also assist Winery Visitor Center local projects. Highly involved in department project workflow, the administrator plays a key role in production, distribution and management of trade and consumer marketing/sales tools. This high energy position requires a confident self-starter, with creative problem-solving skills and initiative to initiate, manage and drive assignments or projects to completion. 

Assignments are of a detailed nature, requiring strong communication skills to disseminate information up and across the organization in a clear and timely fashion. Tasks and duties also require an ability to understand and capture complex subjects, techniques, etc., manage priorities, multi-task and perform detailed follow-up. Within our marketing team, the associate is relied upon to “know all” project related. 

Core Responsibilities:
Project Management 
•  Initiate and manage development, production and distribution of promotional and collateral materials. 
•  Ensures: On-budget completion and ROI reporting; accurate and timely materials shipping and tracking 
•  Primary liaison with vendors and premium brokers; provide clear direction re: deliverables and quality standards 
•  Secure and evaluate production estimates; provide recommendations 
•  Track project costs against budget 

Brand Marketing 
•  Develop approved local sales support materials, eg: market specific coupons, market focus materials, sell sheets, distributor or account presentations, etc. 
•  Organize and maintain company’s brand asset library, including physical marketing materials
•  Manage digital POS materials inventories on Trade Site-Own development of key tactical tools, e.g.: tech notes, flow materials, logos, bottle shots, etc. 
•  Manage inventory levels, order oversight and item uploads to internal sales POS ordering portal (i.e. Sales Center)
•  Assist and support in Public Relations duties: manage/track press mailings, providing materials to PR firm when requested;update and manage score tracking spreadsheets 
•  Oversee shipping, including but not limited to:Press mailings, initiated by Marketing & PR agency; new vintage shipments (sample store)
•  Manage and maintain Napa cold room samples, including all current vintages, competitive samples, library wines and press samples
•  Competitions and Events: assist on multiple levels from submitting registration paperwork and samples to “on the ground” participation day of the event 
•  Assist with corporate or marketing presentation (PowerPoint) development 
•  Website content and image maintenance of Trade site and Consumer sites (monthly audits)
•  Assist in coordination and execution of internal sales events, e.g.: National Sales Meeting, distributor incentives 
•  Maintain Market Focus and VIP Travel calendars; furnish materials needed in timely fashion 

Compliance Oversight:
•  Primary liaison with HFW compliance vendor; facilitate all product registration and price activities; label registrations with TTB and state governments
•  Secure and maintain all federal and state licenses for sales/shipping and production;file OOS monthly invoices
•  TTB research for label and/or brand name guidelines or availability

Competencies and Requirements: 
•  BA/BS in Marketing or related field with 3+ years wine industry experience, trade marketing or brand management strongly favored 
•  Thrive working in a start-up environment; fast paced and high energy, managing multiple tasks and deadlines, effectively prioritizing with strong attention to detail 
•  Valid CA driver’s license with reliable transportation and ability to become company authorized driver 
•  Strong organizational skills and attention to detail 
•  Excellent written and verbal communications skills 
•  Critical thinking and creative problem solving to manage shifting priorities 
•  Practiced managing multiple tasks simultaneously, reprioritizing as needed 
•  Comfortable pulling data, creating spreadsheets 
•  Interpret various data to identify business trends, opportunities, etc. 
•  Mandatory Software proficiency, intermediate to advance level preferred: Windows Office (Word, Excel, PowerPoint) Photoshop, Illustrator, WordPress or other web based platforms 
•  Familiarity with TradePulse, desired 
•  Professional, positive and flexible attitude with willingness and ability to travel overnight occasionally. 
•  Ability to work primarily Monday-Friday with occasional weekends, and evenings as business requires 
•  Willingness and ability to participate in and represent Hahn Family Wines at Special Events and Wine Tastings at Hahn Estate (Monterey winery) and NorCal events. 
•  Ability to drive and operate a vehicle 
•  Due to nature of position, all candidates must be 21 years of age to apply 
•  Willingness and ability to pass and maintain RBS (Responsible Beverage Server) Certification
