Under general supervision, the Hospitality Assistant is responsible for managing and consistently delivering a top-notch hospitality experience for all trade guests at Black Stallion Estate Winery (BSEW). Responsibilities include management of all administrative and logistical matters pertaining to trade hospitality, including processing and calendaring hospitality request forms, maintaining all trade calendars, responding to personalized guest requests, maintaining cottage provisions and cleanliness of BSEW guest houses and pool complex, and assisting in executing trade events.

Functional Responsibility:

  • Executes requests for guest visitations upon arrival in Black Stallion Guest Cottages as well as specific guest requests according to the Hospitality Request Form.
  • Notifies BSEW management of staffing needs and plans accordingly, securing all necessary manpower, equipment, and material requirements.
  • Communicates with the DFV Sales Team in developing clear expectations for each guest visit.
  • Takes time to research and learn as much as possible about guests prior to their visit, customizing their experience accordingly while being mindful of budget constraints and designated goals.
  • Builds rapport and establishes relationships with guests and winery team.
  • Facilitates guest check-in and check-out; performs walk-through and explains appliance functions, offered amenities and emergency procedures.
  • Conducts tours and tastings in a knowledgeable, professional, and confident manner for guests.
  • Is responsible for cleaning schedule and general maintenance of the BSEW guest houses and grounds; ensures that everything is in good condition and in working order (pool, spas, appliances, etc.).
  • Continuously maintains inventory levels and orders supplies, provisions, wine samples, food and floral arrangements to ensure that guest houses remain appropriately stocked according to the Hospitality Request Forms and established standards.

Essential Duties:

  • Handles phone inquiries, emails, and general correspondence that relate to the guest houses.
  • Maintains basic office organization, event files, wine & supply inventory and general office support.
  • Prepares and manages a monthly spreadsheet reporting cottage and trade-related costs. Submits for management review, flagging any exorbitant or large expenditures and making recommendations for cost reductions wherever possible.
  • Maintains detailed records of each guest, updates the status of guest stays and recaps the events for future follow-up by Sales, Marketing or Business Development and Events Manager.
  • Reviews and maintains calendar of guest stays planning forward at least 9 months out.
  • Maintains and secures the guest house keys; oversees security and gate access restrictions.
  • Works with Business Development and Events Manager, Tasting Room Manager and/or Hospitality and Events Coordinator to set up and tear down tastings and events.
  • Other projects as assigned.

 

Minimum Requirements:

Education and Experience:

  • High school diploma or equivalent; Associate Degree is a plus.
  • 2 years related work experience; hotel or hospitality background preferred.
  • Wine industry experience is a plus.

Knowledge, Skills, and Abilities:

  • Valid driver’s license, appropriate automobile insurance coverage, and clean driving record.
  • Must be extremely organized with impeccable attention to detail.
  • Understands hotel management and scheduling.
  • Excellent proactive planning, critical thinking and problem solving skills.
  • Exceptional active listening, verbal and written communication skills.
  • Demonstrates excellent customer service and patience.
  • Must possess a friendly, professional demeanor and appearance.
  • Strong computer skills, MS preferred (Word, Excel, PowerPoint, and Publisher).
  • Working knowledge of the wine industry and/or culture.

Physical Requirements:

  • Ability to lift and move 50 pounds.
  • Ability to stand for extended periods of time.
  • Ability to set up and breakdown event inventory and spaces.

Working Conditions/Standards:

  • Ability to work in the outdoors including during winter and summer months, subject to marked temperature and humidity changes.
  • Ability to work in refrigerated environments.
  • Drives automotive equipment.
  • Exposed to dust, fumes and gases.
