Department Coordinator, eCommerce (Wine Jobs: Management & Administration)

Job Summary: Oversee project coordination for all of eCommerce; working closely with other departments.  Make recommendations to Manager to improve department processes.

Essential Duties and Responsibilities: 

Special Projects (45%): 

  • Assist with various eCommerce projects. This can include scheduling meetings, taking notes, assigning action items, and following up with other departments.
  • Create and send in all NPRs and PRSs to the Art Department.
  • Other special projects as assigned.

Marketing Promotions & Metrics: (45%): 

  • Work with Manager to develop, write copy for, and schedule eCommerce promotional emails.
  • Manage the eCommerce Calendars for Virginia Dare Winery and Francis Ford Coppola Winery including implementing Wine Club, and Marketing department email requests within calendar with detailed information.
  • Work with Wine Family/Lost Colony Society and Manager to ensure we’re utilizing information for all upcoming events, and creating emails or promotional programs to ensure best use of special programs.
  • Develop and maintain reports to measure site, store and campaign performance.
  • Generate leads and manage relationship(s) with outside sales partners and vendors.
  • Coordinating social media marketing and marketing needs as needed.

Customer Service: (10%): 

  • Respond accurately to customer inquiries via telephone and email within 24 hours of receipt.
  • Suggest and maintain customer service best practices to Manager, based on customer interaction experience.
  • Maintain a comfortable, friendly, and informative customer service environment via face-to-face, phone, and email communication, including correspondence with internal departments.
  • Act as backup for eCommerce Associate position when necessary, answering incoming calls and emails, assisting customers with orders, providing customer service, and troubleshooting customer concerns.
  • Be able to respond to other departmental or company needs or changes as necessary. 

Job Requirements:

Education/Experience: High school diploma or general education degree (GED); and two years related experience and/or training; or equivalent combination of education and experience. Two years supervisory or experience leading a team and overseeing workflow.

Vision (Near, Distance): Must be able to see computer screen, paperwork.

Sense of Sound: Must be able to hear forklift warning sounds.

Sense of Touch: Must be able to use computer keyboard.

Ability to wear Personal Protective Equipment (PPE): Must wear close-toe shoes.

Work Environment: Warehouse/Office

Other: Computer proficiency in MS Office, Internet; computer applications preferably with shipping and inventory software; Basic knowledge of Photoshop and HTML, previous retail/e-commerce experience, previous supervisory experience, some marketing related experience, experience in the wine industry.
