Accounts Payable Specialist (Wine Jobs: Management & Administration)

The Henry Wine Group is a leading distributor throughout the state of California of authentic, value to ultra-premium, domestic and imported wines. We are currently seeking an experienced Accounts Payable Specialist to join our Finance Team in Benicia. This position reports directly to the Controller.

Primary Roles & Responsibilities:

•  Match supplier inventory purchase orders and inventory receiving documents to supplier invoices
•  Ensure that all supplier invoices are entered timely
•  Work directly with suppliers, vendors, and internal personnel to resolve any invoice discrepancies quickly and in a professional manner 
•  Communicate frequently with inventory suppliers on payment status, advise supplier when payment has been made via ACH.
•  Communicate with Controller and, if needed, VP of Finance regarding any supplier invoice discrepancies
•  Prepare weekly check runs/ACH’s by preparing voucher packets for signature
•  Verify supplier and vendor accounts by reconciling monthly statements
•  Follow accounting policies and procedures to ensure a high level of accuracy and integrity is continuously being met. 
•  Assist with audits and other project based activities as needed
•  Performs other functions assigned by management

Minimum Qualifications:

•  2+ years’ experience processing 100+ invoices weekly with multiple lines/ skus
•  5+ years’ ERP, Excel experience working in a mid-size company
•  Strong verbal and written communication required, ability to communicate effectively and assertively with vendors, suppliers as well as other internal personnel
•  Candidate should be professional, reliable, flexible, and able to handle multiple and competing priorities in a fast pace environment.
•  Some experience processing AP invoices in foreign currencies, mainly Euros, preferred
•  High degree of confidentiality with a strong work ethic
•  Self-directed, proven ability to work with minimal supervision, strong team player 
Physical demands and abilities:
•  Regularly spends long hours sitting and using office equipment and computers
•  Moves from sitting to standing positions frequently
•  Frequently spends long hours in intense concentration reviewing and entering financial information into a computer
•  Uses hands and fingers to handle, control or touch objects
•  Regularly see details of objects that are less than a few feet away
•  Speak and listen with clarity and understanding
•  Frequently works on projects that require deadlines
•  Bends to file and maintain files
•  Occasionally lift 5-10 pounds
